1. Who we are
MetalMitra is an independent, founder-run business based in India (operated as a sole proprietorship, not a company). We are responsible for the personal data described in this policy. In this policy, "we", "us" and "our" mean MetalMitra. You can contact us at hello@metalmitra.com.
2. Data we collect
We collect only the data we need:
- Contact, proposal and product enquiry forms: your name, company name, work email, phone number, country, company website (optional), services of interest, message, preferred contact method and, for product enquiries, the approximate number of target buyers.
- Newsletter: your email address and the date you confirmed your subscription.
- Sourcing enquiries: your contact details, the products you need and any files you attach (such as an RFQ, drawing or specification). Files are stored privately and shared with manufacturers only as needed to prepare a quotation.
- Software purchases: your name, company, email, phone, billing address, country and, where you provide it, your GSTIN — used to issue your receipt and licence. Card, UPI and bank details are entered on Razorpay's secure checkout and never reach our servers.
- Licence activation: when you activate QuoteMitra or MTCMitra, the app sends your licence key, a one-way hashed computer ID, the computer name and the app version, so we can limit each licence to its seats. Your quotations, certificates and business data stay on your computer and are never sent to us.
- Technical data: the page you submitted a form from, campaign (UTM) parameters, your browser's user agent and a one-way hashed version of your IP address used to prevent spam and abuse.
3. How we use your data
- To reply to your inquiry, prepare proposals and answer product questions.
- To send a confirmation email when you submit a form.
- To process payments, issue receipts and invoices, deliver software and manage licences.
- To send our newsletter, only after you confirm your subscription.
- To protect our website from spam and misuse.
We do not sell your data, and we do not use it for automated decision-making.
4. Legal basis
We process form data with your consent and to take steps you ask for before entering into a contract. We process technical data for our legitimate interest in keeping the website secure. For purchases we also process data to perform our contract with you and to meet tax and accounting duties. We handle personal data in line with India's Digital Personal Data Protection Act, 2023 and, for visitors in the European Union and United Kingdom, the GDPR.
5. Sharing
We share data only with service providers who help us run the website and email, such as our hosting and email providers, under appropriate agreements. These are our web hosting provider (the website and its database run on a secured private server), our email provider (to send replies, receipts and download links) and Razorpay (to accept payments in India). We may also disclose data where the law requires it. We never sell or rent your data.
6. Retention
We keep inquiry data for as long as needed to respond and for up to 24 months after our last contact, unless a longer period is required by law. Newsletter data is kept until you unsubscribe. Order, receipt and licence records are kept for 8 years, as required by Indian tax law, and so you can recover your licence later.
7. Security
We use HTTPS, access controls, hashed passwords and regular backups to protect your data. No system is perfectly secure, but we take reasonable steps to keep your information safe.
8. Your rights
You can ask to access, correct or delete your personal data, or withdraw your consent at any time. Every newsletter email includes an unsubscribe link. To make a request, email hello@metalmitra.com.
9. Cookies
The public website does not use tracking or advertising cookies. We use one small functional cookie that remembers, for your current browser session, that the menu intro animation has already played. A strictly necessary session cookie is used only in our private admin area.
